Your privacy is a priority for us. We work hard to earn and keep your trust, so Scribas adheres to the following principles to protect your privacy:

  • Your personal information is your own and you decide who will have access to it.
  • You maintain ownership rights to your personal information, even if there is a business transition or policy change.
  • You may add, delete, or modify your personal information at any time.
  • Scribas will not update or modify your personal information without your permission.
  • Scribas will not sell, exchange, or otherwise share your personal information with third parties, unless required by law or in accordance with your instructions.
  • Scribas does not send spam, maintain spam mailing lists, or support the activities of spammers.

If users have questions or concerns regarding this statement, you should first contact Scribas.

Information Collected

At Registration:

In order to become a Scribas member, you must first create an account on the Scribas website. To create an account you are required to provide the following contact information:

  • E-mail address.

This is used to send you an initial confirmation e-mail which you will need to respond to in order to activate your account.

Profile Information:

On confirming your account at Scribas, you will be asked to fill out your personal profile. The personal information contained within includes such things as:

  • First name or first and last names of the Member (last name optional).
  • Gender, year of birth, occupation, all optional.
  • Location (e.g., city and state).
  • Schools attended in the past.
  • Hobbies or Leisure activities, optional.

We collect your personal information solely for the purpose of improving the service at Scribas. For instance, our system uses your user name and password so that you (and nobody else) can upload photos, alter your MyArchive page and your profile. We use your email address to deliver the Scribas newsletter, Memories. We might occasionally use your user name and password to inspect your account to evaluate or correct problems.

Note that occasionally we might send you an email to update you about our service. However, we will not sell, rent, or otherwise make your personal identifiable information available to third parties, except when required to do so by law.

Information Automatically Collected

Like most Internet services, we use log files on the server side. When you visit the Scribas website, we automatically receive the URL of the site from which you came (referrer) and the site to which you are going when you leave Scribas (destination URL). We also receive the Internet protocol (IP) address of your computer, a date/time stamp, your path through the Scribas website, your computer operating system (e.g. Windows) and type of web browser (e.g. Internet Explorer, Firefox, Opera, etc.) you are using, as well as the name of your ISP. This information is used to analyze overall trends to help us improve the service Scribas offers and none of this automatically collected information personally identifies you.

Cookies

Like most web sites, Scribas uses cookies to track site usage and facilitate site usage by our members. Cookies are small text files placed onto your computer that store certain information. Our cookies only store certain information, which enhances your experience of using or browsing through the Scribas website. It also enables us to track the traffic on our site. We only store information created by the Scribas server; we don't store any personally identifiable information in cookies. We do not link the information we store in cookies to any personally identifiable information you submit while on our site. You may be able to configure your computer's browser to accept or reject all or some cookies, or notify you when a cookie is set. However, the removal or rejection of Scribas cookies could have an adverse effect on your user experience on Scribas and you may be requested to log in more often than normal.

Third Party Cookies

In the course of serving advertisements to this site, our third-party advertiser may place or recognize a unique "cookie" on your browser. These are used to help in the process of ensuring that visitors are not repeatedly offered the same advertisements.

Mailing List

Scribas runs a mailing list to enable efficient delivery of our newsletter, "Memories". New members are automatically signed up to this mailing list and thus receive this newsletter. The newsletter is delivered 2-4 times a month and will be clearly marked as an e-mail from Scribas.

Scribas members can at any time unsubscribe from the mailing list by visiting their My Account page and going to the Newsletters section. Click on My newsletters and uncheck the box Scribas Newsletter.

Customized Content

Information you provide in your Profile is also used to customize your experience on the Scribas website. For example, when you login to your account and visit the Scribas front page, we will display content there based on your location, your hobbies, your age, your occupation, your chosen location or the school you attended.

Information Sharing

Occasionally, in the Scribas newsletter, Memories, we will include excerpts from certain members' MyArchive pages. Do not include material that you are not happy to have a) published on the Scribas website or b) shown in part in the Scribas newsletter, Memories.

A Scribas member's Contact List will be viewable by all other members, present as it is on a publicly viewable part of the website. Do not add members to your Contact List if you would not like other Scribas members to see who you have added.

Most of the pages on the Scribas website allow our members to send a short e-mail to someone he/she knows by clicking on the E-mail Page to Friend link. Clicking on this link will usually open up your computer's e-mail client and your e-mail address will be visible to the recipient of the e-mail.

We may provide very generic aggregated data about our members and the usage of our services to third-parties for such purposes as we deem, in our sole discretion, to be appropriate. We may segment our users by role (i.e. product managers, vice presidents), geographic location, leisure pursuits or age group. No personally identifiable information will be included.

Links

Some Scribas pages contain links to other websites. These include those that are placed there by Scribas (such as advertisements), as well as by other Scribas members. Please be aware that Scribas cannot accept responsibility for the privacy practices of any other website. We would encourage all Scribas members to be aware of when they leave our website, and to read the privacy policies of each website that collects personally identifiable information. This privacy policy applies solely to how Scribas gathers and uses information from Scribas members.

Changing Your Account Information

You have the right to access, correct, update, and/or delete your information at any time. You can review the personal information you provided us and make any desired changes to the information, or to the settings for your Scribas account, at any time by logging in to your account on the Scribas website and editing the information on your Profile or My Account page.

You can also close your account by contacting Scribas. Please send your request using an email account that you have registered with Scribas under your name. If you close your Scribas account, we will remove your name and other personally identifiable information from our publicly viewable data. We may retain certain data contributed by you if it may be necessary to prevent fraud or future abuse, or for legitimate business purposes, such as analysis of aggregated, non-personally-identifiable data, account recovery, or if required by law. All retained data will continue to be subject to the terms of the Scribas Privacy Policy that you have previously agreed to.

Content that you have contributed to Scribas Archives will remain on the Scribas website after you have closed your account. Due to the nature of the wiki software that runs Scribas Archives, it is impossible to remove the content posted by a single member. You are, of course, free to edit certain Scribas Archives to remove content that you know is solely your contribution.

Protecting Your Privacy

Posting of Sensitive Information

We would recommend that users employ maximum discretion when entering personally identifiable data on the Scribas website. Scribas members have the opportunity to create content in the following areas of the site:

(i) MyArchive pages.
(ii) Forum topics and replies.
(iii) Scribas Archives, both articles and discussion pages.
(iv) Comments on other Scribas members' MyArchive pages.

When posting information on these parts of the site, be aware that this information can be accessed by the public and can in turn be used by those people to send you unsolicited communications. Thus, when posting information on these parts of the Scribas website, members should avoid disclosing the following information:

(i) e-mail addresses
(ii) telephone numbers, including cell phone numbers
(iii) home or workplace addresses
(iv) numbers such as social security numbers, bank account numbers, credit card numbers or passport numbers

If anyone asks you for such information in any part of the Scribas website, please contact us immediately and we will take the appropriate action.

Password Protection

Access to the Scribas website is controlled by use of a username and password. If someone manages to get hold of your password, they will have access to personally identifiable data. Precautions should therefore be taken to protect your account password. Here are some tips to good password security:

  1. Use strong passwords. Lengthy passwords (more than 10 characters) are good. A mix of numbers, letter and special characters (commas, questions marks, other punctuation marks) is also recommended. Avoid words that you can find in a dictionary, names or anything based on your username.
  2. Don't reveal them to others. Keep your passwords hidden from friends or family members (especially children) who could pass them on to other less trustworthy individuals.
  3. Protect any recorded passwords. Be careful where you store the passwords that you have to record or write down.
  4. Never provide your password over e-mail or based on an e-mail request. Scribas will never request your password via e-mail.
  5. Change your passwords regularly. The strength of your password will help to ensure the security of your Scribas account and your privacy for a lengthier period of time. A password that is shorter than 8 characters should be considered only good for a month or so, while a password that is 14 characters or longer can be considered secure for several years.

Logging Out

Scribas uses what is known as a session cookie, which means you will be automatically logged out of the Scribas website once you close your browser. This means you can log out of your Scribas account either by clicking on the Log Out link in the top right of every page or by simply closing the browser.

Particularly when you are not using your own personal computer at home or in your workplace, you should always ensure you are logged out of the Scribas website before someone else uses the same computer. Be especially careful when you are in a public place such as an Internet café, school, airport, coffeehouse or library. It is not sufficient to simply go to the browser's home page and allow other members of the public to take your place on the computer.

Children

Scribas is committed to protecting the privacy needs of children and we encourage parents and guardians to take an active role in their children's online activities and interests. The Scribas website is not intended for and may not be used by children under the age of 13. Scribas does not knowingly collect information from children under the age of 13.

Legal Disclaimer

It is possible that we may need to disclose personal information when required by law. We will disclose such information wherein we have a good-faith belief that it is necessary to comply with a court order, ongoing judicial proceeding, or other legal process served on our company or to exercise our legal rights or defend against legal claims.

Changes to Privacy Policy

Notice of all changes that affect ways in which your personally identifiable data may be used or shared will be posted in updates to our Privacy Policy. If you continue to use Scribas after notice of changes have been sent to you or published on our site, you hereby provide your consent to the changed practices.
